How we handle the information you share with us.

The Mexican Heritage Association of West Michigan ("MHAWM," "we," "us," or "our") respects your privacy. This policy explains what information we collect through mhawm.org, how we use it, and the choices you have.

Information We Collect

We collect information you give us directly when you:

  • Subscribe to our newsletter (email address)
  • Submit a contact form (name, email, subject, message)
  • Register for the Reinita Mexicana pageant (participant name, age, parent/guardian name, email, phone)
  • Sign up to volunteer (name, email, phone, age, availability, t-shirt size, emergency contact, accessibility needs)
  • Inquire about sponsorship or donations (name, email, contact details, inquiry message)
  • Submit a logo contest entry (name, email, design title, description)

We do not knowingly collect information from children under 13 without parental consent. Reinita pageant registrations for minors are submitted by parents or guardians.

How We Use Your Information

We use the information you share to:

  • Respond to your inquiries and process your submissions
  • Coordinate your volunteer shifts, pageant participation, or sponsorship
  • Send you festival updates, program announcements, and community event notifications (if you subscribed)
  • Acknowledge and process donations, including sending tax receipts
  • Improve our programs and communications

We do not sell, rent, or trade your personal information to third parties for their marketing purposes.

How We Store and Share Information

Form submissions are processed and stored through Netlify Forms, our website hosting platform. We may share information with service providers who help us operate MHAWM — for example, email platforms for sending newsletters, or payment processors for donation handling. These providers are bound by their own privacy practices and may only use your information to perform services for MHAWM.

We may disclose information if required by law, to protect the safety of our community, or to respond to valid legal requests.

Cookies and Analytics

Our website uses minimal cookies, primarily for essential site functionality. We do not currently use third-party advertising cookies. If we add analytics in the future (to understand how visitors use the site), we will update this policy.

Your Choices

  • Unsubscribe: Every newsletter includes an unsubscribe link. You can opt out at any time.
  • Access or correct: Email us at info@mhawm.org to request a copy of the information we have about you or to correct inaccuracies.
  • Delete: You can ask us to delete your information. We will comply unless we are required to retain it (for example, donation records for tax purposes).

Data Security

We take reasonable steps to protect the information you share, including using secure form submissions and limiting access to the people who need it to run our programs. No method of transmission over the internet is 100% secure; we cannot guarantee absolute security but we work to protect your data in good faith.

Children's Privacy

Information about minors (for example, Reinita pageant participants under 18) is collected only through a parent or guardian, and is used solely to coordinate their participation in our programs.

Changes to This Policy

We may update this privacy policy as our programs evolve. Material changes will be posted here with an updated "Last updated" date. Continued use of the site after changes means you accept the updated policy.
